How Aion Dental Designs looks after the information you give us through this website.
Last updated: 25 October 2026
Who we are
Aion Dental Designs (“we”, “us”) is a dental laboratory at 43 Compton Close, London NW1 3QS. We are registered with the Information Commissioner’s Office (ICO). We decide how and why the personal information described below is used, so we are the “controller” of it.
Contact us at info@aiondentaldesigns.co.uk or on 07493 103067.
What information we collect
When you use the contact form or the submit a case form we collect what you type in:
- your first name, practice name, email address and phone number;
- your GDC number, if you choose to give it;
- a patient reference, the date you need the work by, the type of work, materials and shades you choose, and any notes or message;
- any files you attach, such as scans, photographs and CBCT data;
- whether you agreed to us using your details to reply.
Please do not put patient names, dates of birth or other patient details into our website forms. Use your own reference instead. Files you attach to the submit a case form are stored in a private area of our server that is not part of the public website. Only we receive a private link to each file, and we delete files and links after 90 days unless we still need them for your case. Please avoid patient names in file names. You can also send scans directly from your scanner using the links on our For dentists page. Clinical information is also covered by our arrangements with your practice.
Our hosting provider also keeps basic technical records (such as your IP address and browser type) in server logs, to keep the website secure and working.
If you accept analytics cookies, we also receive anonymous information about how visitors use the site. See our cookie policy.
Why we use it, and our legal basis
- To reply to your message, answer your questions and set up or deal with your case. This is necessary to take steps at your request before a contract, or to carry out our contract with you, and it is in our legitimate interest to run our business.
- To keep records for accounting, tax and regulatory purposes. This is a legal obligation.
- To keep the website secure and working. This is our legitimate interest.
- To measure how the website is used, only if you accept analytics. This is based on your consent.
We do not sell your information and we do not use it for automated decisions.
Who we share it with
We only share information with organisations that help us run the website and the business, such as our website hosting provider and email provider. They may only use it on our instructions. If you contact us on WhatsApp or Instagram, those services have their own privacy policies. If you accept analytics, Google receives anonymous usage data. Our website also loads its fonts from Google Fonts, which means your IP address is sent to Google when a page loads.
Some of these providers may store information outside the UK. Where that happens we make sure appropriate safeguards are in place.
How long we keep it
We keep enquiry details for as long as we need them to reply and to manage your case. We then keep records of cases and accounts for as long as the law and our regulatory and accounting duties require, and delete or anonymise them after that.
Your rights
You can ask us to: give you a copy of your information; correct it; delete it; restrict how we use it; stop using it where we rely on legitimate interests; or move it to another organisation. If we rely on your consent, you can withdraw it at any time. To use any of these rights, contact us using the details above.
If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
Security
This website uses HTTPS, so what you send is encrypted in transit, and we limit who can see enquiries. No method of sending information over the internet is completely secure.
Links to other websites
Our website links to other sites, such as Instagram, WhatsApp, Medit and scanner providers. We are not responsible for their privacy practices.
